This Privacy Policy explains how Alpha IT Solutions Ltd ("we", "us", "our") collects and uses personal data when you visit our website, enquire about our services, or become a client. We are the "data controller" for the personal data described in this policy.
We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. The personal data we collect

3. Why we use it and our lawful basis
- To respond to your enquiry. Lawful basis: legitimate interests (responding to someone who has contacted us).
- To provide and support our services. Lawful basis: performance of a contract.
- To take payment and keep accounting records. Lawful basis: performance of a contract and legal obligation.
- To send newsletters and offers. Lawful basis: consent. You can unsubscribe at any time using the link in every email.
- To keep our website secure and improve it. Lawful basis: legitimate interests.
- To measure our advertising. If you accept cookies, the Meta (Facebook) pixel tells us which of our adverts brought you here and whether that visit led to an enquiry. Lawful basis: consent, which you can withdraw at any time from our Cookie Policy. If you decline, nothing is sent to Meta at all.
4. When we handle data on a client’s behalf
When we deliver managed IT, monitoring or support services, we may process personal data belonging to our client’s own staff or customers. In those cases our client is the data controller and we act as their data processor, under a written Data Processing Agreement, and we only act on their documented instructions.
Where we provide workplace activity monitoring, it is limited to application names and duration. We do not capture keystrokes, screenshots, or the content of messages, documents or calls. Employers must inform their staff before any monitoring begins. Templates are available on our Downloads page.
5. Who we share it with
We never sell your personal data. We share it only with trusted providers who help us run the business:
- Stripe. Payment processing
- Brevo. Sending email and newsletters
- Meta Platforms Ireland Ltd. Advertising measurement, and only if you accept cookies
- Anthropic. The text you type into the chat assistant is sent to their API to generate a reply. We do not send your name, email or IP address with it
- Our hosting provider. Storing the website and our systems
- Our accountant and, where legally required, HMRC or other authorities
Website contact, quote and download forms are handled by our own server at alphaitsolutions.uk and are not passed through a third-party form service.
6. International transfers
Our systems are hosted in the UK/EU. Where a provider processes data outside the UK, we rely on an approved safeguard such as UK adequacy regulations or the International Data Transfer Agreement.
7. How long we keep it
- Enquiries that don’t become work: up to 12 months
- Client records and contracts: for the duration of the relationship and 6 years afterwards (accounting and legal requirements)
- Newsletter subscribers: until you unsubscribe
- Workplace activity data processed for clients: automatically deleted after 90 days, or as instructed by the client
8. How we protect it
We use encryption in transit (HTTPS/TLS), hashed passwords, role-based access control, separate databases for each client, restricted administrative access and regular encrypted backups. Access is limited to staff who need it.
9. Your rights
Under UK data protection law you have the right to:
- Be informed about how your data is used
- Request a copy of the data we hold about you
- Have inaccurate data corrected
- Ask us to delete your data, where there is no overriding reason to keep it
- Restrict or object to how we use your data
- Data portability
- Withdraw consent at any time, where consent is our lawful basis

10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last revised. Significant changes will be highlighted on this page.
